  • **Internal:** Internal docs, process guides, team communications. Use with approved tools only. Check terms of service for training data policies.

This isn't about being paranoid. It's about knowing what you're putting where. Most data breaches happen because someone didn't realize what they were sharing.

#### 3. Output Review Process

AI makes mistakes. It hallucinates. It generates plausible-sounding nonsense with complete confidence. And it's getting good enough that the mistakes are harder to spot.

For any AI-generated output that reaches the outside world—customer emails, proposals, social posts, reports, recommendations—build a review step. It doesn't need to be slow. It just needs to exist.

The simplest approach: AI drafts, human approves, system sends. If you can't afford the human step, you can't afford the AI step.

Governance as a Competitive Advantage

Here's the reframe that changes everything: governance isn't overhead. It's a sales tool.

When you're pitching a enterprise client and they ask about your AI practices—which they will, increasingly—having a clear answer puts you ahead of 60% of competitors who are winging it.

When a customer asks "how do you handle my data?" and you can point to your classification policy and approved tool list, that's trust. When a partner's security questionnaire asks about AI governance and you have something to show, that's a deal accelerator.
